Privacy Policy
This policy explains what data VOXIA RH collects during a hiring process, how the AI evaluates, who else processes it, how long the data is kept and how to have it deleted.
Who is responsible
The company posting the role controls your data. VOXIA is its technology provider and processes the data only on that company's behalf and for the hiring process.
What is collected
What you type in the form, your résumé if you upload it, your photo, the audio and transcript of your interview and, if you accept the camera, the interview video. If you give us links to your public profiles (for example, your professional profile or portfolio), we look at what those profiles show publicly to cross-check it with your résumé.
Biometric data
To confirm that the person in the interview is the person in the photo, a face template is generated from the photo and frames of the video. The template is computed, compared and discarded: it is not stored. Only the comparison result is kept. Biometric data is never sold, leased or traded, and is not shared outside the responsible company and VOXIA unless required by law.
How the AI evaluates
An AI conducts the interview with fixed questions for each role, transcribes your answers and compares them with the role profile: concrete examples of experience (STAR method), English level and consistency with your application. The camera only records visible facts, such as whether another person is in the frame. It does not measure emotions or personality. The final decision is always made by a person on the hiring team.
Providers that process your data
To deliver the service we use these providers, which process data only on our behalf:
hosting of the server that holds the file, and email; artificial intelligence services that conduct the interview, evaluate the answers and describe what is visible in camera frames; the interviewer's speech synthesis (it only receives the text she says); messaging to deliver the report to the hiring team; and, if you give us your username, the public platform where your profile lives. Transcription of your voice and the face comparison run on our own server: your audio and your face template are not sent to any of these providers. We do not use your data to train AI models.
How long it is kept
The video and the face comparison result are deleted automatically after 30 days. The rest of the file is kept for the duration of the hiring process for the role, and never longer than the law allows. Backups are renewed daily and deleted data also disappears from them within 8 days.
Deleting your data
Write to info@voxiaa.com with your name and the email you applied with. We delete your video and your data, and ask the responsible company to delete its copies, within 30 days.
